ISO 15489

Records Management

Improve your record keeping, comply with the law, and enhance your brand.

The ISO 15489 framework can help your business reap the benefits of enhanced records management. These include meeting your legal obligations for accurate storage and retrieval. It will also improve accountability and transparency by ensuring you allocate responsibilities to the right people in your organisation.

Implementing the ISO 15489 Record Management System is particularly important for businesses that deliver record management services. It will help you improve your management processes and design more efficient record keeping systems. It will even strengthen your auditing and training.

What is ISO 15489?

ISO 15489 is the standard for Records Management Systems (RMS). It was designed to help businesses and other organisations to manage their records to keep them reliable and up-to-date.

Records are kept in all types of environment and business, and are no longer just physical items. The greater flexibility that digital records provide, such as the ability to reuse or repurpose, brings about new requirements and considerations that businesses must look at with their record keeping.

ISO 15489 helps business to implement systems and rules for the creation, capture and management of records. The standard also covers opportunities for use and reuse of records, takes into account the importance of risk management, and highlights the considerations needed for any collaborative work.

This standard allows businesses to set up an RMS that can help them protect the reliability and usability of their records whilst ensuring all records remain appropriate for their original purpose.

The Benefits of ISO 15489

Records management is not just about how you store physical and digital records. It encompasses all record keeping activities and takes account of the value of the records kept.

Here are some benefits of using the ISO 15489 framework:

  1. Record classification – Following the standard’s logical record classification system will help you simplify the tasks of recording, retaining, retrieving and deleting records.
  2. Legal Compliance – Implementing the standard will normally mean your business also complies with all its legal responsibilities towards record keeping.
  3. Brand Reputation – Implementing the ISO 15489 standard demonstrates your commitment to excellent record management, which can increase existing customer confidence and help you win new business in international markets.
  4. Greater efficiency – The ISO 15489 standard provides employees with comprehensive guidance on routine, yet critical, record management processes so helping reduce errors.

Once you have achieved certification the certification cycle will commence. This is made up of surveillance and re-certification audits, one of which must take place each year, around the anniversary of your certification. These visits confirm your continued compliance with the Standard and verify the validity of your certification.
